• We collect only what we need to reply to you, plan your trip and make your bookings.
• We share your details only with the hotels, drivers, guides and other services in your itinerary, and when the law requires it.
• We never sell your personal data, and we don't send marketing messages unless you ask us to.
• You can ask to see, correct or delete your data at any time by emailing us.

1. Who we are

This website, maharajatourindia.com, is run by Maharaja Tour India, a tour operator based in Agra, Uttar Pradesh, India. We decide how and why your personal data is used for our tours, which makes us responsible for it. Under India's Digital Personal Data Protection Act, 2023, we act as the "data fiduciary" for your data. For travellers from the European Union or the United Kingdom, we are the "controller" under the GDPR and UK GDPR.

2. What we collect

When you enquire

Through our trip request form, WhatsApp, email or phone, you give us your name, email address, phone or WhatsApp number, the country you live in, and details of your trip: dates, number of travellers, places, interests, hotel preferences and budget. You may also choose to tell us about dietary needs, mobility needs or health conditions so we can plan around them. Please share only what is useful for your trip.

When you book

• Full names of every traveller, exactly as they appear on their passport or ID.
• For international travellers, passport and visa details, which Indian hotels are legally required to record for foreign guests.
• For Indian travellers, details of a government photo ID, which hotels check at check-in.
• Ages of travellers where needed, for example for train tickets or children's rates.
• Arrival and departure flight or train details, so your driver can meet you.
• Payment records, such as the amount, date and transaction reference. We do not collect or store card numbers or banking passwords.

When you visit our website

Like most websites, our web server records basic technical information such as your IP address, browser type and the pages you visited, to keep the site secure and working. Our pages load typefaces from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google.

We use only the cookies needed for the website to work. We do not currently use advertising cookies. If that changes, we will update this policy first.

3. How we use your data

We use your personal data to:

• reply to your enquiry and prepare your itinerary and quote;
• reserve hotels, vehicles, guides, train and flight tickets and monument entry for your tour;
• take payments, issue invoices and keep financial records;
• stay in touch before and during your trip, including support on WhatsApp;
• handle any complaint or claim;
• meet our legal obligations, such as tax and accounting rules.

We rely on your consent when you send us an enquiry, on the need to carry out the booking you've asked for, and on our legal obligations. We will only send you offers or newsletters if you have asked to receive them, and you can stop them at any time.

Our chat assistant

If you use the chat assistant on our website, we keep a record of the conversation, the page you started it on and any contact details you choose to share, so our travel team can follow up with you. Your messages are sent to Google's Gemini service to generate the assistant's replies. Please do not share passport numbers, payment details or other sensitive information in the chat.

4. Who we share it with

We share your details only as far as needed to deliver your tour:

• Hotels, drivers and guides in your itinerary, who need your name, arrival details and any preferences relevant to them.
• Railways, airlines and monument ticketing services, which require passenger names and sometimes ID or passport numbers.
• Banks and payment providers that process your payment.
• Service providers we use to run our business, such as our email, website hosting and messaging services, including WhatsApp, which is operated by Meta.
• Government authorities, when Indian law requires it, for example the registration of foreign guests by hotels.

We never sell or rent your personal data to anyone.

5. International transfers

We are based in India, so if you contact us from another country, your data is transferred to and used in India. Some of the services we use, such as email and messaging providers, may store data on servers in other countries. Where we transfer data, we take reasonable steps to make sure it stays protected in line with this policy and the law.

6. How long we keep it

We keep your data only as long as we need it:

• Enquiries that don't lead to a booking are deleted within 24 months of our last contact.
• Booking and payment records are kept for as long as Indian tax and accounting law requires.
• Copies of passports, visas or ID documents are deleted within 90 days of the end of your tour, unless the law requires us to keep them longer.

7. How we protect it

We limit access to your data to the people who need it to plan and run your trip, use password-protected accounts and secure connections, and ask the suppliers we work with to protect your details. No system is completely secure, but if a data breach affects you, we will tell you and the relevant authorities as the law requires.

8. Children

We collect details of children only from their parent or guardian, and only what we need to book their travel and accommodation. Our website is not intended for use by children on their own.

9. Changes to this policy

We may update this policy when our services or the law change. The date at the top of the page shows the latest version. If we make a significant change, we'll highlight it on this page.
